About the role

Alsys is a family business based in Leiden. We develop and build robots for the laboratories of companies you will come across all over the world. Those projects often run for months or years, are invoiced in instalments and cross borders, so the administration takes rather more care than at a company selling a product off the shelf. As Finance and Administration Officer you are the person keeping all of that on track day to day. You process incoming and outgoing invoices, keep the bank transactions up to date, monitor outstanding items and make sure everything is complete and on time for the monthly close and the accountant. You work closely with the management team, with project leads and with colleagues in purchasing and sales. Here, everyone is easy to reach β€” and in this job that makes a real difference.

What you'll do

  • Processing and posting purchase invoices, matching them to purchase orders and projects
  • Preparing and sending sales invoices based on project instalments
  • Recording and reconciling bank transactions
  • Receivables management: monitoring outstanding items and chasing customers, in English too
  • Preparing payment batches for approval
  • Processing expense claims and credit card statements
  • Supplying the figures for the VAT return and the EC sales list
  • Supporting the monthly and annual close and the accountant's queries
  • Spotting where the administrative process could be better or simpler

What we ask of you

  • Vocational level 4 or a bachelor's in business administration, finance or accountancy
  • Several years' experience in a comparable administrative role
  • Experience with an accounting package such as Exact Online, AFAS or Twinfield
  • A good command of Excel
  • You work accurately and independently, and keep track of your own deadlines
  • Fluent Dutch and good written and spoken English

Nice to have

  • Experience in a project-driven or technical environment, such as machine building or installation engineering
  • Knowledge of international VAT and the EU reverse-charge mechanism
  • Experience with invoicing customer portals such as SAP Ariba or Coupa
  • An interest in improving and automating administrative processes
